Most people reach this page from the checkbox on our contact form, having just been asked to agree to it. So it is written to be read in the two minutes that takes.

What we collect

We collect different things depending on how you reach us, so this is written by route.

The enquiry form. Your name, email and phone number, the dates you are asking about, how many of you there are, where you are staying, what you tell us about your plans, how you heard about us, and whether you are reachable on WhatsApp. The form software also records your IP address, your browser and the page you came from.

Our own enquiry record. One line per enquiry, kept on our own server. It does not hold your email address — only a short code worked out from it, enough for us to see that the same person has written twice. With it we keep the page you enquired from, your device, browser and language, and how long you spent on the page before writing.

Email. Whatever you write to us and whatever we write back, in our Outlook mailbox.

WhatsApp. Your number and the conversation, in WhatsApp Business. When anyone presses a WhatsApp link on this site we log the page and the link — no number, no name, nothing that identifies who pressed it.

Why we have it

We have your details because you asked us to plan something. We use them to answer your enquiry, to prepare and run what you book, and to reach you if anything about the day changes.

The enquiry record has a different purpose. It tells us which pages bring people here and which do not, so we know what to improve next — and it is why that record holds a code rather than your address.

We do not run a newsletter or a marketing list, and you will not be put on one. We do not build a profile of you. We never sell your details, and we never hand them to anyone to use for their own purposes.

Who else handles it

Nobody is given your details to use for their own purposes. What follows is every company whose tools we use to run the business, and what each of them sees.

Microsoft. Our email runs on Outlook, so anything you write to us by email sits in a Microsoft mailbox.

Meta. WhatsApp Business is a Meta product, so a WhatsApp conversation with us is held on Meta’s systems as well as ours.

Google. Analytics runs only if you accept cookies. A Google anti-spam check also runs on the contact page, loading with the page itself, to keep automated submissions out.

TripAdvisor. The review panel on our pages is loaded from TripAdvisor, so your browser contacts them whenever a page carrying it opens.

Our host. The website and its database sit on our hosting company’s servers, in the United States.

These are United States companies and their systems sit outside Europe, so some of what you send us is stored or handled there.

How long we keep it

Enquiries that do not become bookings. We clear the submission once the enquiry is closed. What we keep afterwards is the count — how many enquiries came in, and from which pages — with nothing in it that identifies anyone.

Correspondence with clients. We keep it. Email and WhatsApp threads with people who have booked stay where they are, indefinitely, because they are the record of what was agreed, what was arranged, and what was asked for on the day. If you would like yours removed, ask us and we will remove it.

Cookies and analytics

Nothing is stored on your device until you choose. Land on any page and we set no cookies at all — the choice comes first, and only then does anything get written.

One exception runs before you decide, and you should know about it: the contact page loads an anti-spam check from Google as the page opens, to keep automated submissions out. It runs whether or not you fill anything in.

If you accept, we use analytics to see which pages people read and which they leave. If you decline, that does not run. Either way we are looking at pages, never at people.

You can change your mind at any time by clearing this site’s cookies in your browser, and the choice will be put to you again.

Photographs of you

We photograph clients on tours and sessions, and some of those images are used on this website and in our own marketing. Two different rules apply, depending on who is in the picture.

Adults. We use images unless you tell us not to. Say so at any point — before, during or after — and they come out. You do not need a reason.

Children. We use no image of a child unless a parent has given us written permission first. Nothing is published on the assumption that permission would have been granted. Permission can be withdrawn later, and the images come down.

This is separate from the photographs you receive. Those are yours, without restriction, for anything personal you want to do with them.

Your rights

You can ask us what we hold about you, and we will tell you. You can have it corrected if it is wrong, or deleted. You can ask us to stop using it while a question about it is being sorted out, to send you a copy in a form you can take elsewhere, or simply to stop using it for something you object to.

Ask by email at mytrip@barcelonaexperience.com or on WhatsApp, whichever you already use with us. There is nothing to fill in and no charge. We will come back to you within a month, and usually the same week.

If you think we have handled your information badly and we have not put it right, you can complain to the Spanish data protection authority, the Agencia Española de Protección de Datos, at aepd.es.
