What Photographing a Celebration in Barcelona Involves

An occasion runs to its own schedule, so most of the night I am moving: walking the room, keeping ahead of the programme, anticipating what is coming rather than reacting to it. Other times the room needs a push and I give it one, getting people doing something rather than standing about, so a photograph exists where there was not going to be one. I read the room and work whichever way it is asking for.

Who You Are Actually Hiring

You are putting someone in the middle of your own party, in front of your guests, for several hours, on a date that cannot be moved. Most of what decides whether that goes well has nothing to do with photography.

It is always me, and I have never missed one

Since 2003 I have not once failed to turn up to an occasion I was booked for. Nobody is sent in my place, and nobody else opens the files afterwards — I take the photographs and I edit them.

I deal with your venue directly

Native English and Spanish, so the conversation with the venue manager, the maître d’ or whoever is running the sound happens without you. You booked a photographer so you could stay at your own party, and being pulled out of it to translate for one would defeat the point.

Dressed and behaving as the occasion requires

A formal dinner and a bachelor party are not the same room, and I turn up dressed for the one I am at. I do not drink and I do not smoke, so I am working for the hours you booked and not becoming another guest.

Whatever your venue asks of its suppliers

Insured, with a proper invoice, and licence details if the venue wants them on file — GC-002877, a registered travel agency. Hotels and larger venues usually ask; it is quicker if the answer already exists.

How the Coverage Runs

Three hours of a party is not three hours of photography. There is what happens before I arrive, and what happens to the files afterwards.

Before the night

I get to the venue ahead of the start, so I have seen it before it fills up: where the light is, where the speeches will happen, where a group photograph can be taken without moving forty people twice. What helps most from you is the running order, who must be in the photographs, and who to find if I need an answer during the evening.

Your venue’s lighting is not something to worry about

Settings only take you so far once the sun is down. What keeps a photograph sharp rather than soft and grainy is flash, used well, and I use whatever the room already has alongside it: table lamps, candles, whatever is lighting people’s faces. Right equipment, and a plan for the light before it matters.

A small preview within 48 hours

Ten to fifteen photographs, edited, within two days, while people are still talking about the night. Nothing leaves a camera untouched: the question is only whether a person or an import preset did the work. These get the former, and they are yours to send to whoever was there.

The gallery and the files within seven days

Seven days is the maximum, not the wait, and what decides it is how many photographs the night produced. You get a private gallery whose link you can send to anyone who was there, and the full-resolution files to download and keep. Print them, share them, post them; there is no album to buy afterwards.

What It Costs

One price for the occasion, whatever the size of it.

Three hours, Barcelona, VAT included

  • Nobody counts heads. One figure covers the occasion whether there are twelve people or eighty, and it includes VAT.
  • Three hours is the minimum, in Barcelona. Most people book a window rather than the whole event — the first hours of the night, or the part that matters — and longer coverage is quoted rather than laddered.
  • Every quote is built from three things: how long it runs, whether it falls by day or by night, and how far the venue is from Barcelona. Outside the city normally carries a travel fee.
  • What you are paying for is not only the hours at the venue. The editing afterwards takes longer than the night does, and it is what the preview and the seven days depend on.

Booking and cancellation

Paying

  • All prices include VAT
  • Your date is held once the session is paid in full
  • Booking more than 60 days ahead? A deposit holds the date, with the balance due 30 days before

Cancelling

  • 21 days or more before — refunded in full, apart from any deposit
  • 20 to 8 days before — half refunded
  • Inside 7 days — no refund
  • Entry tickets and anything else bought for you are non-refundable

  • Sessions run for the time booked, from the agreed start
  • Images of adults may be used in my portfolio and on this site unless you tell me otherwise beforehand
  • Images showing children are used only with written consent from a parent, and that consent can be withdrawn at any time

Questions, answered

How far ahead should I book?

As soon as the date is fixed. I take one occasion at a time, so a date is only held once the booking is paid — and further out, it can be held with a deposit rather than the full amount.

What if the date moves, or the event is cancelled?

Both are covered in the booking terms further up this page, in writing, before you pay anything. Tell me as early as you can and we work from there.

Do you photograph outside Barcelona?

Yes, anywhere in Catalonia. A venue outside the city normally carries a travel fee, quoted with the rest of it rather than added afterwards.

How many photographs will we get?

It depends on the occasion — how long it runs, how many people are there, and how much is actually happening. A dinner for twelve and a party of eighty with dancing do not produce the same number, and you get everything worth keeping either way.

Can our guests see and download the photographs?

Yes. The gallery is private but the link is yours to send to whoever you like, and the full-resolution files are yours to download and keep.

Will you use our photographs anywhere?

Adults' images may appear in my portfolio and on this site unless you tell me otherwise beforehand. Children are different: their images are only ever used with written parental consent, and that consent can be withdrawn at any time.

What if the event runs longer than we booked?

The proposal fixes the rate for extra time before the night, so there is nothing to negotiate at midnight. Extra time is billed in whole hours — an extra ninety minutes is two.

Do you photograph company events?

Yes, and a company books exactly as an individual does. Congresses and trade shows are a different job and I don't take them — for incentive programmes and company travel, see incentive travel.

What if it rains, or the event is outdoors?

We work through it and get the best the conditions allow. Weather is not a cancellation.

Do you need a break or a meal at a long event?

Inside four hours I work straight through. Past that, where food is being served, plan a meal for me at the end of the coverage — it is normal at events that length and most venues include it without being asked.
